MISSION
We are looking for an experienced and highly organized Office Manager & Executive Assistant to oversee the day-to-day operations of our London office. This role will provide executive support to the CEO, handle HR administration, manage office logistics, and act as the key liaison with our support departments in Geneva.

MAIN ACTIVITIES AND RESPONSIBILITIES
Office Management & Logistics
- Oversee the front door operations, including welcoming guests and ensuring the office is properly opened and maintained.
- Serve as the first point of contact for any office-related issues, liaise with building management as needed.
- Handle the current and future office space's utilities.
- Ensure smooth daily operations of the London office, including the coordination of office supplies, facilities, and suppliers.
- Arrange travel bookings, expenses, and logistics for senior management.
- Coordinate meetings and manage office events or team gatherings, including Board meetings.
Executive Assistance to the CEO
- Provide direct PA support to the CEO, including calendar management, meetings coordination, and correspondence.
- Prepare reports, presentations, and key documents as needed.
- Handle confidential matters with discretion and professionalism.
HR Administration
- Act as a liaison between employees and the HR team in Geneva.
- Support the onboarding and offboarding for London-based employees.
- Assist with payroll coordination and benefits administration.
- Participate in the management of the pension plan and other employee-related insurance policies.
Coordination with Geneva Support Functions
- Liaise with other Group support teams when needed, including HR, IT, finance, and general services.
REQUIRED EDUCATION AND EXPERIENCE
- Bachelor level or equivalent education.
- 5+ years in office management, HR administration, or executive support.
QUALIFICATIONS AND SKILLS
- Excellent organizational skills and attention to detail;
- Excellent communication skills and high drive;
- Ability to handle sensitive information with discretion
- Sense of responsibility and initiative;
- Ability to work autonomously;
- Demonstrated track record of continuous improvement and innovative thinking both in approach and in practical effect;

- Excellent interpersonal skills and customer orientation;
- Agile and flexible mindset, reactive to requests;
- Excellent organizational skills and attention to detail;
- Ability to interact with colleagues of diverse cultures; respect for diversity;
- Good IT skills; proficiency in Windows environment is expected;
- Proficiency in spoken and written English; knowledge of other languages is an asset.
