MISSION
We are seeking a highly organized and detail-oriented, and proactive Legal / Contract Management Specialist to join our Legal team. This role is critical in supporting the full lifecycle of contracts and managing legal documentation for the Company in Geneva, as well as affiliate companies in Asia, to ensure accuracy, compliance, and timely execution. The ideal candidate has a strong foundation in contract administration, excellent organizational and communication skills, and a keen eye for detail, to support our legal team in Geneva.
MAIN ACTIVITIES AND RESPONSIBILITIES
- Contract Lifecycle Management
- Manage the end-to-end process of contract creation, execution, tracking, renewal, and archiving.
- Ensure all contracts are properly approved, signed, and stored in accordance with company policies.
- Monitor contract deadlines, renewal dates, and deliverables.
- Ensure compliance with internal controls, regulatory requirements, and legal standards.
- Contract Management & Organization
- Maintain a centralized, organized digital document repository.
- Ensure accurate and up-to-date records of executed agreements, templates, and supporting legal documents.
- Drafting & Review Support
- Assist in drafting standard contracts, amendments, using pre-approved templates.
- Conduct initial reviews of third-party contracts, identifying key risks or deviations from standard terms.
- Contribute to the development and refinement of contract management processes and templates.
REQUIRED EDUCATION AND EXPERIENCE
- A Master's degree in law
- 3+ years of experience working in an in-house counsel environment, specializing in contract management and legal administration.
- Expertise in contract structure, legal terminology, and contract management processes.
- Familiarity with contract compliance and legal practices in Asia, UK (US, EU as a plus).
- Experience liaising with cross-functional or international teams; strong organizational and time-management skills.
- Proficiency in document management systems, e-signature platforms (e.g., DocuSign, AdobeSign), and CRM tools.
- Effective written and verbal communication skills (fluent English is required); ability to work independently and as part of a team.
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
