MISSION
The Office Coordinator is responsible for ensuring the smooth, efficient, and professional day-to-day operation of our APAC offices by coordinating facilities, services, and administrative support. They act as the primary point of contact for employees, visitors, and vendors, support travel arrangements and onboarding activities, facilitate internal office communications, and work closely with Human Resources, Finance and the Administration Teams in other offices to ensure accurate tracking of invoices, expenses, and service agreements.
MAIN ACTIVITIES AND RESPONSIBILITIES
Coordinate daily office operations to ensure a smooth and efficient workplace
Manage office facilities, meeting rooms, and shared spaces
Serve as the first point of contact for office-related queries from employees and visitors
Coordinate travel arrangements and bookings in line with company policy, in collaboration with other administration teams
Support onboarding activities, including workspace setup, access cards, and basic office orientation
Coordinate visitor reception and meeting logistics as required
Assist with internal communications related to office operations
Liaise with external stakeholders to ensure service delivery and resolve issues
Track office-related invoices, service agreements, and expenses
Support internal teams with invoice submission and payment follow-up
REQUIRED EDUCATION AND EXPERIENCE
A diploma or Degree in Business, Administration, or an equivalent level
2–4 years of experience in office coordination or administrative support
Experience supporting daily office operations, facilities, and vendor coordination
Experience in travel arrangements, meeting coordination, and visitor management
Exposure to invoice tracking, expense coordination, or finance/admin support is an advantage
Experience working in an international corporate environment
Excellent command of English, written and spoken. Other languages are an asset.
Open to Malaysian citizens or holders of a valid work authorization in Malaysia only
