MISSION
The Senior Financial Operations Officer is responsible for the efficient execution of MKS PAMP’s operational activities, supporting the group’s precious metals trading business. This role supports the European Trade Teams, including active co-ordination with Geneva Head Office and Ticino Refinery Operations Teams, ensuring timely readiness of completed operational processes.
MAIN ACTIVITIES AND RESPONSIBILITIES
1. Operational Execution
• Perform and maintain accuracy and timeliness of the company’s trades capture, cash and margin monitoring operational processes, ensuring continuity of critical post-trade processes.
• Perform Daily Bank Reconciliations to internal Trading System, review Customer Margin Call requirements with reference to prior day margin movements and adequacy of Collateral, and ensure all End-Of-Day (‘EOD’) trade validations and processes are completed, ready for review by the European Operations Teams when Europe opens.
• Investigate and document any reconciliation breaks or discrepancies, escalating unresolved issues proactively to the European Operations Teams.
• Work closely with traders, sales, logistics, systems teams, and clients to ensure effective coordination and communication among internal/external stakeholders.
• Manage and monitor physical precious metal deliveries from/to group refineries, from/to third party banks.
• Manage and monitor physical metals inventories in the various storage locations, collaborating with Logistics department.
• Verify completeness and accuracy of incoming/outgoing documentation (invoices, air waybills, packing lists, assay certificates, etc.) and ensure timely system inputs.
• Collaborate with Front Office and Treasury Finance on Customer outgoing and incoming payments.
• Collaborate with Front Office and Treasury Finance to compute interest accruals and other month-end activities in relation to month-end closing.
• Provide operational coverage during staff leave and/or high-volume periods supporting operational needs where necessary.
2. Process & Systems
• Understand and maintain comprehensive up-to-date Standard Operating Procedures (SOPs).
• Identify and assess process or system inefficiencies, risks, or gaps, and recommend practical solutions for improvement.
• Participate in implementation and testing of system or process enhancements i.e. Order Inventory Management and Trading systems.
• Execute all operational activities accurately and on schedule, ensuring alignment with business, regulatory, and compliance standards.
• Enforce internal controls and adherence to operational procedures.
• Maintain accurate records and reporting to ensure transparency, documentation completeness and audit readiness.
• Promote synergies and foster good collaboration across departments and offices
• Propose process efficiencies, improvements and contribute innovative ideas.
• Carry out work in a gender and diversity-sensitive manner.
• Perform other responsibilities as assigned.
REQUIRED EDUCATION, SKILLS & EXPERIENCES
- 4-7 years of work experience, in financial operations and settlements, reconciliations, reporting and treasury, ideally within financial services, banking, trading companies or precious metals environment.
- Proven ability to manage multiple priorities and maintain high standards of accuracy and compliance.
- Exposure to ERP and IT systems would be an advantage.
- Excellent organizational skills and attention to detail.
- Excellent interpersonal skills and customer orientation.
- Agile and flexible mindset, reactive to requests.
- Ability to interact with colleagues of diverse cultures; respect for diversity.
- Competent handling detailed data-sets and proficient with excel
- Proficiency in spoken and written English is required.
